Cloud based HRIS (Human Resource information system) has been a well accepted offering in the market place for the better half of this decade. On a literal basis, the term refers to software as service (SaaS) for HRIS, however, there are more benefits to using cloud based HRIS if you purchase the HRIS application and host it with the right software provider.
The Singapore government provides incentives encourage organization to automate time-consuming human resource management processes as well as implementing tools to assist in the strategic decision making process at management level. While these incentives are valid for Cloud Based and on-premise systems (One-time purchase of application software and host it internally typically) the financial incentive may prove to be more beneficial if one chooses one-time purchase of application software and host it with software provider to get all the benefits of SaaS at the same time.
Here are a list of benefits of adopting a cloud based HRIS (SaaS):
Overall, organizations that have adopted a cloud based HRIS (purchase of the HRIS application software outright and host it with the application provider for a reasonable fee) should enjoy majority of the above mentioned benefits.
Some of the additional long term benefits are:
The sole disadvantage of hosting of purchased HRIS will be upfront cost of application software that is considered as capital expenditure by some organizations. However, it is partially offset by current generous government incentives for purchasing HRIS to automate.
In summary, cloud based HRIS has come a long way and it is widely accepted. It is particularly suitable for SME and large MNC with local branches or subsidiaries that do not have resources to maintain a secure environment. The recommendation is to examine the benefits for both SaaS and Hosted HRIS and check that your application service provider put in place good practices and processes to ensure you continue to get the benefits. E.g. you should use the above points as a checklist and get the provider to show proof that the processes are in place in delivering the SaaS HRIS or hosted HRIS. You will then be able to get the maximum benefits of a cloud HRIS.
